The Human Resources Manager should oversee all reference checks using the Reference Check Survey Template as a guide. HRG105-4 REFERENCE CHECK SURVEY HRG105-4 covers background information, general job information, a closing statement, and more. Information is to be obtained over the phone if possible. Responses should be obtained only from people with first-hand knowledge of the candidate’s performance.
The goal is to obtain factual information about the candidate’s job performance and qualifications for employment. Retain a copy of all responses, including the contents of any oral response, in the applicant’s file. However, some companies may demand that all requests be in writing, using company letterhead, indicating in that letter that the subject of the reference request has applied for a job and that information is not to be provided over the phone.
