Confidential Information Release Procedure
The Confidential Information Release Procedure provides a means for your company to control and/or release your information to banks, investors, investment houses, media, credit bureaus and other agencies and organizations.
The accountant Confidential Information Release Procedure applies to all information requests by outsiders to an employee regarding financial, sales, marketing, customers, personnel, vendors or other confidential information of the company. Typical written requests are for additional information concerning details of the published financial statements, litigation progress, insurance coverage, names of investors, etc. If the request is by letter or other written correspondence, the material shall be forwarded to the CFO who will decide what information may be released and who will be authorized to reply.
If the request is by telephone or a personal visit to our office, the requester should be referred to the CFO or the Controller. If either is unavailable, the requester should be asked to provide their name, company, telephone number and address, if possible. Also they should be asked the reason for the request and a brief description of the information desired. This accountant confidentiality information should be written down and forwarded to the CFO for follow-up.
Confidential Information Release Responsibilities:
The CFO (Chief Financial Officer) is responsible for safeguarding all company information and determining the appropriate level of detail for release.
The Controller is responsible for assuring effective control of informative requests.
The Human Resources Manager should oversee all responses to all reference requests.
The Credit Manager should oversee all responses to all credit inquires.
