The meeting leader should establish the reason/purpose and goals for the meeting and be able to write them in a sentence or less, each, on theMeeting Agenda Template. The meeting leader should determine the number and identity of all participants and indicate whether their participation is mandatory or optional on AD1060-1 MEETING AGENDA. The meeting leader should determine the topics to be discussed and the order in which they are to be addressed and write them on the meeting agenda. The Meeting Agenda Template should include a summarization at the end of the meeting, as well as a list of action items and responsibility for each.

The timekeeper should record start and end times for each agenda item, as well as for the meeting, on the front of the meeting agenda form, in columns D and E (columns F and G may be filled in after the meeting). The scribe may use the reverse of form AD1060-1 and/or separate sheets. NOTE: Meeting minutes and times may be recorded in electronic files on a laptop computer. Immediately after the meeting, the scribe should have the meeting leader review the minutes of the meeting and approve them. The scribe should also attach the meeting minutes, when kept on separate sheets, to the Meeting Agenda.
