<p>St. Louis, MO &#8211; June 18, 2009 &#8211; Bizmanualz, Inc., a business publications, training, and consulting company based in St. Louis, MO, today announced the release of the updated <a title="Bizmanualz ISO 9001 QMS Policies, Procedures, and Forms manual" href="http://store.bizmanualz.com/ISO-9001-QMS-Policies-Procedures-Forms-p/abr211m.htm" target="_blank">ISO 9001 Policies and Procedures</a> Manual. The company has greatly improved its product by modeling its policies and procedures on the Deming (&#8220;Plan-Do-Check-Act&#8221;) Cycle.<span id="more-822"></span></p>
<p>&#8220;The updated manual reflects our lean philosophy in multiple ways,&#8221; said Christopher Anderson, Managing Director of Bizmanualz. &#8220;For example, rather than borrow the text of the standard verbatim in the quality manual, we stripped it to the bare essentials. Putting in a lot of verbiage not required by the standard can make your Quality Manual less user-friendly, less useful, and less likely to be improved.&#8221;</p>
<p>The updated ISO 9001 Policies, Procedures &amp; Forms Manual conforms to the ISO 9001:2008 standard, which was updated for the first time in eight years and released in November, 2008. 			<content:encoded><![CDATA[<p>&#8220;<a href="http://www.bizmanualz.com/information/2007/11/12/why-do-you-need-to-write-procedures.html" target="_blank">Why do we need policies and procedures</a>?”  Have you heard that question before?  Perhaps you were even the one asking it.  How happy were you with the answer you gave,  or with the one you received?  Frequently  people struggle to give a clear and meaningful response to such an obvious  question.  <span id="more-178"></span>It is, however, probably one  of the most important questions to answer before starting or updating a system  of <a href="http://www.bizmanualz.com/information/2004/11/04/seven-cs-to-avoid-procedure-writing-errors.html">policies  and procedures</a>.</p>
<p>There are page-long lists of why policies and procedures are  necessary, but, of course, such long lists lose meaning and value.  By the time you read to the bottom, you don’t  remember what was at the top of the list.   Plus, such long lists have too much overlap and repetition.  A simple approach may be more useful.  The purpose for creating an <a href="http://www.bizmanualz.com/information/2005/04/06/how-to-write-procedures-to-increase-control.html">internal  control</a> system through defining and documenting processes with well-written  procedures boils down to a few very basic reasons:</p>

<li>Operational Needs</li>

<li>Continuous Improvement</li>

<h2><strong>Policies &amp; Procedures Improve Compliance</strong></h2>
<p>Complying with laws and regulations should be the most basic  function of an organization.  Even the  smallest of organizations must comply with tax laws and with state and local  regulations (i.e. zoning, licensing), while some organization must cope with a  myriad of federal and state laws and regulations.  Other compliance issues may deal with <a href="http://www.bizmanualz.com/information/2006/04/26/iso-quality-standards.html">quality  standards</a> like ISO 9001, ISO 22000, or UL.</p>
<p>While procedures themselves may not demonstrate compliance,  well-defined and documented processes (i.e. procedures, training materials)  along with records that demonstrate <a href="http://www.bizmanualz.com/information/2006/11/21/continuous-improvements-with-control-charts.html">process  capability</a> can make evident an effective internal control system and  compliance to regulations and standards.</p>
<p>Let’s face it; if your organization is having trouble in  performing the rudimentary function of obeying laws and regulations, then it is  likely struggling even more at being <a href="http://www.bizmanualz.com/information/2005/01/26/how-to-build-effective-management-systems.html">effective</a> and successful in fulfilling its core missions.   If compliance is an issue in your organization, then creating well-defined  processes documented by procedures in order to meet your legal and regulatory requirements  should be a high priority.</p>
<h2><strong>Ensure Operational  Needs Are Met through Policies and Procedures </strong></h2>
<p>What is really important in your business?  What is fundamental for its success?  Are practices associated with them being  steered by top <a href="http://www.bizmanualz.com/information/2007/10/29/strategic-management-to-achieve-goals.html">management</a>?  How much visibility and transparency is there  into the effectiveness of these key processes?</p>
<p>This brings us to the next important role of <a href="http://www.bizmanualz.com/information/2005/04/19/who-are-procedures-written-for.html">procedures</a>;  to ensure processes fundamental to the organization’s success are properly  guided by management, are performed in a consistent way that meets the  organizations needs, and that important related information and data are  captured and communicated.</p>
<p>For example, if regularly introducing new and improved  products is essential to the success of your business, shouldn’t you be in  control of your <a href="http://www.bizmanualz.com/information/2005/01/18/take-control-of-the-sales-and-marketing-cycle.html">sales  and marketing cycle</a> that captures customer requirements and desires so they  can be translated into your product design?   Shouldn’t there be well-documented design review and product launch  processes?  Policies and procedures are a  way to document such key activities so they are executed consistently and  implement the best practices for the organization.</p>

<h2>ISO 22000 Procedures – Now in Spanish!</h2>
<p>Another exciting thing happening at Bizmanualz this  month is the release of the Spanish language version of the ISO 22000:2005 Food  Safety Management Manual titled <em><strong>Bizmanualz </strong>ISO 22000 Manual para la  Seguridad en los Alimentos Políticas, Procedimientos, y Formas.</em>  The  original English version was released in January 2006.  Completing the  Spanish language version is the result of a nearly year long collaboration with  college interns from Spanish speaking countries and working closely with  translation consultants.</p>

<p>A lot can go into a successful internal audit program.  First, appropriate resources like personnel, budget and time need to be  committed. Equally important is clear communication. The objectives of the  internal audit program needs to be communicated throughout organization. In essence,  everyone needs to understand that auditing is always about improving the  system, and never about catching someone doing something wrong.</p>
<p>Training is also extremely important – the internal audit  teams should be trained on the audit process, as well as the standard and  regulations to which the audits are being conducted. After all, the main goal  is to find objective findings on specific requirements.</p>

			<content:encoded><![CDATA[<p>&#8220;I am here to audit you.&#8221;  That phrase can strike fear in most of us, thanks in part to our good friends at the IRS.  In the business world as well, those five words can send a chill down the spine of everyone from the Finance VP to the shipping department clerk.  But it shouldn’t.  <span id="more-166"></span></p>
<p>If your organization has an aggressive and well run Internal Audit system, when an external auditor shows up (whether from a customer, a regulator, or third party registrar), then nothing they do or find will be a surprise to you.  In fact, if the Internal Audit system has already identified areas for improvement, and plans and activities for improvement are in place, including <a href="http://www.bizmanualz.com/information/2006/04/11/understanding-corrective-and-preventive-actions.html">Corrective Actions</a>, then most external auditors will view your proactive management very positively. </p>
<h2><strong>Some Good Reasons for Internal Audits</strong></h2>
<p>Preparing for external audits is just one reason to have a proper Internal Auditing program.  Another good reason is that it is frequently a requirement.  Section 8.2.2 of <a href="http://www.bizmanualz.com/information/2004/12/03/how-to-meet-quality-standards-with-iso-9001.html">ISO 9001:2000</a>, for example, clearly states that the organization shall conduct Internal Audits at planned intervals.  A similar provision exists in many other standards and regulations as well. </p>
<p>As noted above, Internal Audits can also ensure your policies, procedures and processes comply with all the required standards and regulations.  Do you really want to wait for external auditors to show up in order to know how your organization’s internal control or <a href="http://www.bizmanualz.com/information/2005/01/26/how-to-build-effective-management-systems.html">Quality Management System</a> is doing?</p>
<p>If <a href="http://www.bizmanualz.com/information/2004/12/09/steps-to-build-an-iso-9001-compliant-program-2.html">compliance</a>, however, is your only goal in creating and maintaining a system of internal control, or for instituting a Quality Management System like ISO 9000, (and its associated Internal Audits), then you may be missing a great opportunity. </p>
<p>If your business or organization is taking the trouble to institute <a href="http://www.bizmanualz.com/information/2005/04/06/how-to-write-procedures-to-increase-control.html">internal control</a> and management systems, shouldn’t you use the system to continually monitor and improve performance?  And Internal Auditing has an important role in the <a href="http://www.bizmanualz.com/information/2005/02/08/what-is-continuous-improvement.html">continual improvement</a> mindset. Using control and management simply for compliance is just doing the bare minimum.  Few businesses truly succeed with that philosophy.</p>
<h2><strong>A Great Use of Time and Attention</strong></h2>
<p>Putting an Internal Auditing program in place isn’t difficult or expensive.  The key to an internal auditing program is just a commitment to applying a small amount of resources in assembling and <a href="http://www.bizmanualz.com/information/2007/07/30/learning-organization-and-effective-learning.html">training</a> an Internal Audit team, and then scheduling Internal Audits according to your organizational needs.  For example, a pharmaceutical company complying with FDA regulations will probably want to have a more aggressive Internal Audit schedule than, say, a tool company that is ISO 9001 certified.</p>
